THE CLIENT

WideFoc.us is a fast-moving social media agency managing concurrent client projects across multiple content types, reviewers, and publishing platforms. They are known for the quality of their work and the long-term relationships they build with the clients they serve.

THE GOAL

WideFoc.us wanted to invest in the operational backbone that would let them continue scaling client work, take on new service lines, and give every team member a clearer view of what was in flight. They were looking for ways to support their clients even better, streamline coordination, and free their specialists to focus on craft instead of context switching. The brief was to build one system of truth — without adding headcount or buying new tools.

WHAT CFC DID

We designed and deployed a single Asana workspace that became the source of truth for every client project:

  • 23 workflow stages covering briefing, research, outline, first draft, internal review, client review, revisions, final approval, production, QA, scheduling, and publishing
  • 27 custom fields capturing client name, content type, word count target, SEO keywords, deadline, reviewer, revision round, publication date, and publishing platform
  • 17 automation rules enforcing assignment routing, status changes, due date calculations, and reviewer hand-offs so tasks moved forward without manual nudging

11 Zapier integrations connecting Asana to the surrounding toolset:

CFC also designed the system around the people using it. Key decision-makers kept their approval authority built into the workflow. The coordination work became visible to leadership. And the system created real PTO coverage so when someone steps away, there’s a clear backup plan, and when they come back they pick up right where things stand.

THE OUTCOME

Within 30 days of launch, every project was running through the new system. The team had a clear, real-time view of capacity and pipeline, client handoffs moved faster, and leadership had the visibility they needed to plan ahead with confidence. Critically, the team accomplished all of this using tools WideFoc.us was already paying for — no new software was purchased.
